Participation and Service Terms

The Open Practice Academy is a DBA of She Writes, She Reigns, LLC. These terms govern access to and use of
all offerings, including Summer 2026 offerings, Fall 2026 learning pathways, and any other paid or free services
offered through The Open Practice Academy.
PART A — SUMMER 2026 OFFERINGS POLICIES
These policies apply to The Open Practice Academy's Summer 2026 offerings, including the 15-Minute Open Practice
Coffee Chat, 60-Minute Open Practice Planning Session, 3-Hour Open Practice Summer PD Support Block, and Fall
Team-Based Open Practice Conversation.
A1. PROFESSIONAL DEVELOPMENT SCOPE
The Open Practice Academy provides professional development, guided planning, reflective learning support, and
implementation support related to open education, digital learning, literacy, learning design, curriculum, and
human-centered practice.
Summer offerings are designed to support learning, planning, reflection, and decision-making. They do not include
legal advice, tax advice, medical advice, mental health treatment, employment services, formal accessibility audits,
formal program evaluation, institutional representation, or guaranteed project outcomes.
Participants remain responsible for decisions, approvals, implementation, compliance, and actions taken in their own courses, programs, teams, institutions, or organizations.
A2. SUMMER AVAILABILITY AND LAUNCH PRICING
Summer offerings are available during the Summer 2026 launch period. Paid summer launch rates are available
through September 1, 2026, unless otherwise stated in writing.
Summer availability is intentionally limited to protect the quality and sustainability of the professional development experience.
The Open Practice Academy reserves the right to close booking availability, pause new bookings, limit the number of participants, or adjust future availability as needed.
A3. 15-MINUTE OPEN PRACTICE COFFEE CHAT
The 15-Minute Open Practice Coffee Chat is a free, informal conversation for people curious about The Open Practice Academy or exploring whether summer or fall support may be useful.
Coffee chats are intended for connection, initial questions, and general fit. They are not full planning sessions and do not include detailed project strategy, draft review, implementation planning, extended troubleshooting, or written follow-up.
Coffee chats are free and may be limited based on availability. Repeated bookings may be declined
A4. 60-MINUTE OPEN PRACTICE PLANNING SESSION
The 60-Minute Open Practice Planning Session is a paid professional development session for focused support around one project, question, draft, decision, or implementation challenge.
This session may include guided planning, discussion of constraints, review of light context provided in advance, and a brief written recap with suggested next steps.
Planning sessions do not include ongoing support, full draft revision, full course development, LMS buildout, grant
writing, legal advice, formal accessibility review, formal evaluation, or project management.
Payment is due at the time of booking unless otherwise agreed in writing.
A5. 3-HOUR OPEN PRACTICE SUMMER PD SUPPORT BLOCK
The 3-Hour Open Practice Summer PD Support Block provides short-term professional development support for
individuals or small teams.
The block includes 3 total hours of support, which may include live planning sessions, preparation, review of submitted materials, written feedback, follow-up notes, and light resource sharing. Specifically, the block includes:

Up to 2.5 hours of live support

Up to 0.5 hour of preparation and follow-up

Brief written notes or next-step recap

Light review of materials shared in advance

Scheduling by mutual availability
Live support may be scheduled as one longer session, multiple shorter sessions, or another structure agreed upon in advance.
The 3-Hour Open Practice Summer PD Support Block must be used by September 1, 2026, unless otherwise agreed in writing. Unused time does not automatically roll over after that date.
Unless separately agreed in writing, the block does not include full course development, LMS buildout, grant writing, legal advice, tax advice, medical or mental health advice, employment advice, formal accessibility audits, formal program evaluation, ongoing project management, large-scale final deliverables, or unlimited email support.
A6. FALL TEAM-BASED OPEN PRACTICE CONVERSATION
The Fall Team-Based Open Practice Conversation is a free early alignment conversation for teams, programs,
departments, schools, libraries, centers, nonprofits, or organizations exploring Fall 2026 professional learning support.
This conversation is intended to understand context, timing, funding pathways, and possible fit for future professional development support. It is not a formal proposal meeting, a full planning session, or a commitment to provide services.
Additional conversations, proposals, reservations, deposits, or agreements may be required before any Fall 2026
team-based support is confirmed.
A7. BOOKING AND SCHEDULING
All summer offerings must be booked through the website, approved scheduling link, or another process provided by The Open Practice Academy.
Participants are responsible for providing accurate contact information and relevant context when booking.
Some services may require approval before confirmation. The Open Practice Academy reserves the right to decline,
reschedule, or redirect a booking if the requested support falls outside the scope of the offering or available capacity.
Sessions are scheduled by mutual availability. Booking a service does not guarantee availability outside the listed
service window or support period.
A8. RESCHEDULING AND CANCELLATIONS
Participants may reschedule a session with at least 24 hours' notice.
Sessions canceled or missed with less than 24 hours' notice may be counted as used and may not be eligible for a refund or rescheduling, except in cases of emergency or by mutual agreement.
For free coffee chats, participants who miss a scheduled session without notice may book one additional time.
Repeated no-shows may limit future access to free booking options.
For paid planning sessions and support block sessions, late cancellations or missed sessions may be counted as
completed.
A9. CARE-BASED FLEXIBILITY
The Open Practice Academy is built around care-centered professional learning. If illness, caregiving responsibilities, accessibility needs, emergencies, or unexpected life circumstances affect a participant's ability to attend, the participant should reach out as soon as possible.
Reasonable flexibility will be offered when possible, but flexibility is not guaranteed and may depend on scheduling
capacity, timing, and the nature of the service purchased.
A10. PAYMENTS AND REFUNDS
Payment for paid summer offerings is due before the service begins unless otherwise agreed in writing.
Because paid sessions and support blocks reserve limited availability, payments are generally nonrefundable once
purchased or booked.
If a participant cancels a paid planning session with at least 24 hours' notice, the session may be rescheduled or
refunded, minus any nonrefundable payment processing fees if applicable.
Support block payments are generally nonrefundable once purchased. If The Open Practice Academy is unable to
provide the purchased support, unused time may be refunded or transferred to another eligible service.
No refunds are provided for unused support block time after the expiration date unless otherwise agreed in writing.
A11. PARTICIPANT RESPONSIBILITIES
Participants are responsible for sharing relevant context, questions, materials, deadlines, goals, and constraints in
advance when possible.
Participants are also responsible for attending scheduled sessions, using support time within the applicable period, and making their own decisions about how to apply the learning, feedback, materials, or suggestions discussed.
The Open Practice Academy is not responsible for delays caused by missing information, institutional approval
processes, lack of participant response, or decisions outside its control.
A12. MATERIALS, NOTES, AND INTELLECTUAL PROPERTY
Participants retain ownership of materials they bring to a session or support block.
The Open Practice Academy retains ownership of its pre-existing frameworks, templates, methods, curriculum, language, examples, tools, and instructional materials.
Unless otherwise agreed in writing, participants may use notes, feedback, and materials created specifically for them during a paid service for their own professional, educational, internal, or institutional purposes.
The Open Practice Academy will not publicly share participant names, institutional names, project details, testimonials, or submitted materials without permission.
A13. WAITLIST AND INTEREST LIST
If a summer offering is full, participants may be invited to join a waitlist or interest list.
Joining a waitlist or interest list does not guarantee a booking, service, price, or specific time slot.
Summer launch pricing is available only through September 1, 2026, unless otherwise stated in writing. Joining a
waitlist does not guarantee access to summer launch pricing after that date.
A14. CHANGES TO SUMMER OFFERINGS
The Open Practice Academy may update service descriptions, availability, pricing, policies, or scheduling options as the business grows.
Any confirmed paid service will be governed by the terms in effect at the time of purchase unless both parties agree otherwise in writing.
PART B — GENERAL TERMS (ALL SERVICES)
B1. BUSINESS IDENTITY
She Writes, She Reigns, LLC operates The Open Practice Academy as its public-facing professional learning and
implementation support space. These Participation and Service Terms govern access to and use of paid planning
sessions, Open Practice PD Support Blocks, and any other paid services offered through The Open Practice Academy.
B2. SCOPE OF SERVICES
The Open Practice Academy is a professional development and specialist support offering. Services include:
professional development planning sessions, project-based implementation support, feedback on project materials, facilitation design, workshop and session planning support, resource recommendations, reflective professional learning, and light artifact development.
The Open Practice Academy does not provide:

Legal advice

Medical advice
-
Mental health treatment
-
Employment services
-
Institutional representation beyond the specific service or plan purchased
Participants are responsible for decisions they make and how they apply learning, materials, and support in their own contexts.
B3. SERVICES NOT INCLUDED UNLESS SEPARATELY AGREED IN WRITING
Unless specifically agreed in writing, support does not include: full course development, LMS buildout, grant writing, formal accessibility audits, formal program evaluation, ongoing project management, full institutional assessment, or production of large-scale final deliverables.
B4. SUPPORT BLOCK AND PLAN TIME STRUCTURE
Support block time includes both live and asynchronous professional support. Time may be used for live planning
sessions, preparation, review of submitted materials, written feedback, follow-up notes, resource recommendations,
facilitation planning, and light artifact development.
To protect quality and sustainability, a portion of each block is reserved for preparation and follow-up:
Basic scheduling and invoicing do not count against the block. Deeper review, written feedback, resource curation,
and planning support do count toward the block.
B5. CURRICULUM ACCESS AND SUPPORT WINDOWS
Where curriculum access is included in a plan or offer, curriculum access is ongoing unless otherwise stated. Support extras — including feedback, Office Hours, workshop tickets, live touchpoints, accountability structures, and asynchronous support — are time-bounded and end when the support window or active plan period ends.
Participants keep curriculum access after the support window closes, but support extras do not continue.
B6. COMMUNICATION AND FEEDBACK TIMELINE
When asynchronous feedback is included in a plan or service, feedback will be provided within 5 business days,
Monday through Friday, during the active support window.
B7. SCHEDULING
Live sessions are scheduled through a scheduling link provided at the time of enrollment. Sessions must be scheduled at least 48 hours in advance. Support blocks must be used within 6 months of purchase unless otherwise agreed in writing.
B8. PAYMENT
Payment is due in full prior to the first session unless a payment plan has been specifically agreed in writing.
Institutional purchase orders and check payments may be accommodated with advance written agreement.
B9. SUMMER 2026 PRICING
Summer launch pricing of 25% off applies to the 60-Minute Open Practice Planning Session and the 3-Hour Open
Practice Summer PD Support Block through September 1, 2026. Summer launch pricing cannot be combined with
other discounts.
B10. FALL RESERVATIONS AND DEPOSITS
Fall PD Support Block reservations require a reservation deposit to hold space on the calendar. Deposits are applied
toward the full balance.
Deposits are refundable for 7 days after payment. After 7 days, deposits become nonrefundable but are transferable
to another eligible service or a later term if the transfer is requested in writing at least 14 days before the first
scheduled session.
If The Open Practice Academy cancels or is unable to provide the reserved service, any unused payments will be refunded or transferred at the participant's preference.
The remaining balance is due before the first scheduled session. Work begins only after payment or institutional payment confirmation is received.
B11. DEPOSIT REFUND AND TRANSFER POLICY
B12. CERTIFICATE PATHWAY AND FOUNDING LEARNER INTEREST
For the evidence-based Open Education certificate pathway (coming Fall 2026), interest may be collected through a
priority interest list before full enrollment opens. Joining the priority interest list does not constitute enrollment, does not guarantee a placement, and does not require payment unless a founding learner reservation deposit is separately requested. Founding participants who reserve a place will receive details on early pricing and early access once full program details are finalized. Founding learner reservation deposits are refundable until full program details are confirmed.
B13. CANCELLATIONS AND RESCHEDULING
Participants may reschedule a session with at least 24 hours notice at no charge. Sessions canceled with less than 24
hours notice may be counted against support block time at the provider's discretion.
B14. REFUNDS
Planning sessions are non-refundable once the session has taken place. For support blocks, unused time may be
refunded on a prorated basis if cancellation is requested in writing at least 14 days before the first session.
B15. PARTICIPANT RESPONSIBILITIES
Participants are responsible for arriving prepared for scheduled sessions, submitting materials in advance when review or feedback has been requested, and using shared artifacts and resources for their intended professional development purposes.
B16. ACCESSIBILITY AND CARE
Participants may request reasonable accessibility supports for live sessions. When possible, live sessions prioritize
clear structure, templates, plain-language explanation, capacity-aware implementation, and realistic next steps. The
goal is to support professional learning in ways that respect real human limits.
B17. NO GUARANTEED OUTCOMES
The Open Practice Academy provides professional development support, reflection, planning guidance, and
implementation resources. Participation does not guarantee any specific institutional, programmatic, or professional outcome.
B18. CONFIDENTIALITY
The Open Practice Academy treats participant project details, institutional context, and submitted materials as
confidential. Information shared during sessions will not be disclosed to third parties without written consent, except as required by law.
B19. INTELLECTUAL PROPERTY
Materials, tools, frameworks, and resources developed by The Open Practice Academy remain the intellectual
property of She Writes, She Reigns, LLC unless otherwise agreed in writing. Participants retain ownership of their own project materials, drafts, and artifacts developed during support.
B20. INDEPENDENT PROFESSIONAL SERVICES
She Writes, She Reigns, LLC operates as an independent professional services provider. Nothing in these terms creates an employment, partnership, or joint venture relationship between the parties.
B21. UPDATES TO TERMS
These terms may be updated periodically. Participants will be notified of material changes.
